Is House Tag only for rented properties?

The original concept for HouseTag was to provide landlords / housing associations with a cost effective, fully auditable solution to evidence compliance of delivering mandatory certificates and documents to home-users. 

However, development driven by customer feedback and potential clients “could we…” has enabled the solution to transcend into other verticals, including: 

  • New homes – a tailor-made 10-year subscription covering the period of the NHBC. The developer subscribes the home to HouseTag for the full period, all initial documents, certificates, and manuals can be uploaded. Throughout the period the homeowner can continue to use HouseTag, and update documents as required. With the concept of “Homes are Static, people are Mobile” underpinning HouseTag if a homeowner sells up the property information remains available for the new occupiers. At the end of the subscription the current occupier can take over ownership of the tag subscription.  
  • Holiday lets / Air BnB – scanning the HouseTag can display information important to the renter, from peace of mind safety documents to contact information, things to do guides, even takeaway menus. 
  • Private homes – future development of the solution could see the benefits of HouseTag being implemented into private residential homes. 

Is House Tag just for mandatory documents?

Whilst the primary function of HouseTag is ensuring landlords/housing associations can evidence compliance there are several other use cases that can benefit landlords / housing associations, contractors and home users, subject to viewing rights issued by the tag owner: 

  • Mandatory certificates – Gas Safety / EICR / EPC. 
  • Other certificates – such as Fire Alarms, Intruder Alarms etc. 
  • Manuals – relating to products and appliances installed at the property. 
  • Proof of works – documents to evidence Electrical Minor Works, Building Control Certificates etc. 
  • Reports – reports on incidences at the property such as asbestos, pest control etc. 
  • Other documents – could include Floor Plans, Wiring Diagrams, Contact Information, Warranty Information etc. 

There is no additional charge for additional data held, one small subscription covers the entire property.

The financial cost of non-compliance

As responsible landlords the legally required checks and tests are diligently performed, but did you know to be compliant you also need to evidence that your tenants have been issued a copy of the certificate, be that Gas Safety, an EICR, or an EPC. 

The potential financial penalties could be: 

  • Gas Safety – up to £6,000 per breach. 
  • Electrical Safety – up to £30,000 for not providing an EICR or failing to complete necessary repairs. 
  • EPC Certificates – up to £5,000 per property without a valid EPC or failing to meet the Minimum Energy Efficiency Standards (MEES).

Energy Performance Certificate (EPC) requirements

Social housing providers have a target set by UK government to achieve a minimum EPC rating of C for rented properties by 2035 (2030 for “fuel poor” households). Furthermore, properties with an EPC rating below E are considered substandard and cannot be let unless exempt. 

As a landlord you should: 

  • Provide tenants with a valid EPC, obtained before the property is marketed for rent. 
  • The EPC must be made available, free of charge to prospective tenants.

Carry out an electrical safety inspection every five years

The Electrical Safety Standards in the Private Rented Sector (England) Regulations 2020 state that landlords must have an electrical safety inspection every five years. However, this might be sooner if that’s what is recommended in a previous report. From November 2025 (April 2026 for existing tenants) this also extends to the social housing sector Government response: Electrical safety in the social rented sector – proposals to extend regulations – GOV.UK

You need to get a qualified electrician to carry out the inspection. After the inspection, the electrician will issue you with an Electrical Installation Condition Report (EICR). 

As a landlord you must: 

  • Complete investigations and repairs advised in the inspection within 28 days. 
  • Issue a copy of the report to each existing tenant of the residential premises within 28 days of the inspection and test.  
  • Issue a copy of the report to new residents before they move in and any prospective tenant within 28 days of a request in writing from that prospective tenant. 
  • Retain a copy of the report until the next inspection and test is due and supply a copy to the person carrying out the next inspection and test.

Carry out a gas safety inspection each year

The Gas Safety (Installation and Use) Regulations 1998 state that landlords must keep gas appliances, pipework and flues safe. Part of this involves getting a new gas safety certificate for the property each year. 

As a landlord you should: 

  • Provide a copy of the certificate to each existing tenant of the residential premises within 28 days of issue.  
  • Keep a copy of the gas safety certificate for at least two years.  
  • Issue a copy the latest gas safety certificate to any new residents when they move in.
